Paul: his daughter’s 11th birthday party with a visit to a pool and Chipotle.

Keith: kids had their last t-ball game last week. Soccer is starting, and kudos to the Mount Horeb Recreation department. Keith was offered a coaching job and he will be working with the football team.

Brent found a $1 coin in the presidential “football” briefcase, wonders about the significance.

Announcements:

Upland Health golf tournament is looking for sponsorships. As a supporter of our events, we are being asked for any interest.

Brent thanks Steve for job as past president and hopes he can keep the momentum going.

Visioning: the visioning piece Steve and Gary will keep the project moving.

Back when Russ was president in 2007 was the last visioning to get a consensus of the club. Brent was brand new at the time, and recalls it with positive feelings.

Other items: Process planning and structure with sustainable tools for function. He believes we already have the pieces and now it is a matter of “Organizing them, clarifying them, simplifying them and optimizing them.”

The focus will be on process planning and structure to facilitate changing over to new positions. 

The initiative involves designing an organization system to have a folder with access to agendas for meetings to pass along to future executive committee members containing, documents, agendas, along with other relevant information. 

Peggy asked when we will have our committee assignments, which will be accessible once the "dashboard" has been implemented.

COMMITTEES

New Generations Sarah has reached out to our incoming exchange student from Greenland, who is currently in the process of securing her Visa. Sarah has also shared a thoughtful overview of what the student can expect in Mount Horeb, and we’re all excited to welcome her. Liz brought up a concern regarding background checks for those working with exchange students. As a reminder, if there are two adults or three students in a car, a background check is not required.

Grant Awards Dinner If you have any receipts from the recent Grant Awards Dinner, please make sure to submit them to Peggy so everything can be properly reconciled and recorded.

Treasurer’s Report Shawn has successfully provided Keith with access to the necessary accounts to ensure the budget was properly deposited. Keith is now working to organize all financials in QuickBooks. A reminder to members that some dues are still outstanding—please check your status on the website or reach out to Keith directly with any questions.

Grant Committee We’re pleased to announce that Gary has agreed to serve as Chair of the Grant Committee. Additionally, we have secured $4,800 in international grant funding, which will be instrumental in supporting projects that extend our impact beyond the local community.

$10K Raffle So far, 150 raffle tickets have been sold, with 100 still available. We encourage all members to continue promoting the raffle to friends and neighbors. Please refer to Paul’s recent email for additional details. The ticket purchase link is available here: https://forms.gle/6DpFrLaSwTg46x8v6. Be sure to reserve the night of August 13 to assist with the event.

Membership Services Our team has been doing a great job onboarding Julie—thank you to everyone who has helped with her transition into the club. Liz is planning an event that will include a helpful tutorial on using ClubRunner, which will be valuable for both new and existing members.

All Committees Brent will be sending an email inviting all members to select a committee they are interested in. This is a great opportunity to get more involved and learn about different areas of the club. Members can switch committees at any time, so the process is flexible and intended to foster engagement.

NOTES:

Transition & Tools At the start of our meeting, we discussed the importance of creating clear and sustainable tools to support our operations moving forward. We have a lot of great content already in place, and our goal is to simplify and consolidate it—this includes standardizing agendas for board meetings, event planning, and general gatherings to maintain consistency and efficiency.

Current Business Peggy will be contacting Nick at the Village to check on the status of the Blue Mounds Road construction and determine whether it will impact our $10K Raffle event. It's important we stay ahead of any potential logistical challenges.

Club Operations Our bylaws and other club operations documents are currently being reviewed, updated, and consolidated to better support the club’s structure and activities going forward.

Rotary Foundation Amendment We will review and vote on the Rotary Foundation amendment at our upcoming meeting on July 9. All members are encouraged to attend so that your input can be included in the discussion and decision-making.

Green Team The Green Team had a fantastic turnout at their recent meeting. As a project-oriented group, their first initiative, titled “A Yard for Every Yard,” is now underway and offers an opportunity for Club Interact, rotarians, and village residents to get involved as well. The team is creating a calendar of upcoming initiatives and will present their plan to the club on July 16.

Upcoming Dates Please mark your calendars for a few important events: the $10K Raffle on August 13, and the Teacher Luncheon on August 20. Peggy will be booking the room for the luncheon.
