Mount Horeb Rotary Club Board Meeting
June 2, 2021
7am
  • In Attendance:  Kopras, Helwig, Zalucha, Yauchler, Bollig
  • Treasurer reported no change in the account balances except for a small amount of interest.
  • Frolic report indicated that we need to have more people sign up on many shifts. All members are asked to wear rotary gear or at least wear Rotary blue. Since there will be other service groups in the tent we would like to make sure that people know the Rotarians are there.There will be no alcohol in the hamburger stand except for that which is being used to soak the burgers.
  • In preparation for her year as president Heidi asked Shawn if she will stay on as treasurer and Shawn agreed. She also asked Peggy if she would remain on as secretary and Peggy agreed.
  • It was suggested that the Mount Horeb rotary foundation review and update the bylaws. The foundation board will send out a copy of the bylaws.
  • Heidi has picked June 17 for her budget meeting beginning at 5:30. Details will be forthcoming.
  •  Brent discussed filling in the chair for the community grant committee. It was decided to hold off on that until task force Alpha had had a chance to make their presentation.
 
  • Business meeting, noon, June 2, 2021

  • Guest: Frank Wallitsch
  • Brent started out the meeting by reinstating happy bucks... we were all glad to hear everyone’s good news. Brent will be having surgery on Thursday for his torn rotator cuff so he will not be able to do any heavy lifting during the frolic but he will be around.
  • Treasurer reviewed the financials with no significant changes. She reviewed upcoming bills including district dues, the tax accounting, international dues, post office box costs, etc.
  • Steve reported on interact and their last meeting of the year. The summer activities include helping with the hamburger tent and also with the golf outing if we want. They will volunteer at the Horrible Hilly Hundred as well.
  • June 30 there will be a fifth Wednesday party at Russ Christian’s house at starting at 5:30. More details to come.
  • Steve and Brent reviewed frolic procedures and asked everyone to sign up to help. Please come a little early so that you can get up to speed on your station before the person you relieve hast to leave. Peggy will resend the sign-up email at least once maybe twice more before frolic starts.
  • Golfing for Scholars will return on Friday, July 30 with a different name.  We will have hole sponsors and corporate sponsors. Brent is working with Deer Valley to analyze the costs so that we can charge appropriately.
  • Russ reported on the grant for Puerto Rico. There is a lot of paperwork and the committee is working their way through it. Russ was happy to report that we will receive 20,000 Paul Harris points for our donation.
  • Report from alpha task force:   Their recommendations focused on the budget process, "who votes on what" and on committees. Regarding the budget they are going to suggest that the process start in April and that each committee requests a budget amount. Then the proposed budget will be reviewed at the May meeting with discussion. Any changes will be voted on in June by the entire club. A copy of the budget will be available at every business meeting for review as we move forward.
  • In the future, requests for funds dollars from the Rotary club will be made to the appropriate committees and that committee will make the decision.
  • It is the intention of the task force to recommend that 10% of all funds raised be held back for emergencies.
  • A reminder.  There will be a budget meeting on June 17 at 5:30.
  • The Alpha task force report will be forthcoming.
